It was 2018, on the banks of the Pearl River in Guangzhou. A handful of industry veterans, each with years of hands-on experience in audio and video conferencing, gathered around a table and kept coming back to the same frustrating question: why, in 2018, were government and corporate conference rooms still running on paper?
Documents were printed, bound, handed out, then collected afterward. Secretaries were exhausted. Costs were high. Security was an afterthought.
A few vendors had already started selling "paperless conferencing" back then—but most of what was on the market was little more than digital paper: PDFs loaded onto a tablet and flipped through page by page. Sign-in, voting, document routing, and follow-up actions were still managed by people in the room.
That, we believed, was not the right answer. A paperless conference should not simply *replace paper with a screen*. It should let the entire meeting workflow run on a system. And there was an even harder problem: government and enterprise clients demand the highest level of security, and foreign systems were off the table. Domestic (Xinchuang) adaptation, at the time, was something almost no one was doing seriously.

What a Complete Paperless Conference System Should Really Look Like
The company's early years were spent quietly laying foundations.
The industry's common playbook was straightforward: outsource software to one vendor, source hardware from another, and let an integrator bolt the two together. It was fast, convenient, and profitable. We chose the harder route instead: research and develop both hardware and software in-house.
Only by owning the entire stack could we solve customer problems completely.
A truly complete paperless conference system is far more than "handing out a tablet to read files." It requires hardware terminals (motorized lift monitors, desktop all-in-one units), meeting management software, audio processing equipment, electronic table cards, and central control matrix systems. Every component shapes the final experience. If those components come from different vendors, compatibility, stability, and after-sales support all become liabilities.
GZZHYUN's hardware line covers full-fit lift terminals from 15.6 to 23.8 inches, including single-screen, dual-screen, microphone-integrated, and desktop all-in-one models. Built with aluminum-alloy CNC machining and synchronous-belt transmission, the lift operates at under 20 decibels—quiet and smooth. On the software side, the platform delivers end-to-end meeting management: sign-in, voting and ballots, document screen-sharing, service calls, and minutes export. It supports deployment across Windows, Kylin (银河麒麟), UOS, and HarmonyOS environments.

Domestic Adaptation Is Not "It Boots Up" — It's "It's Actually Used"
The real turning point came in 2021. Xinchuang (China's IT application innovation program) policies began rolling out in earnest, and domestic compatibility shifted from a "nice-to-have" to a hard requirement. Many competitors were caught off guard—their systems ran on Windows, used Intel chips, and relied on foreign databases. Switching to a domestic stack meant rebuilding from scratch.
GZZHYUN entered that inflection with an advantage. Because we had built everything in-house from day one, our architecture carried no legacy debt, and adaptation moved quickly.
Today, our system is fully compatible with domestic operating systems including Kylin and UnionTech UOS, supports domestic processors from Phytium, Kunpeng, and Zhaoxin, integrates with domestic databases including Dameng and KingbaseES, and has completed comprehensive alignment with domestic middleware from Primeton, Tongtech, and Baoland.
But "installed and boots up" is not our standard. On Kylin, we performed low-level performance tuning that noticeably accelerated document loading. On domestic databases, we optimized the storage engine and indexing to prevent lag under high concurrency. What customers experience is a system that feels good to use, not one that merely works.
On security, our paperless conference system supports three-role separation—system administrator, meeting administrator, and auditor—each with mutually checked permissions. Every operation is logged: every upload, download, and deletion is traceable. In confidential meeting mode, materials carry user watermarks, cannot be exported, and terminal data is wiped irrecoverably the moment the meeting ends. These capabilities are built in from the ground up, not bolted on later.
When AI Meets Conferencing: No Gimmicks, Just Real Problems
Around 2023, large language models exploded into the mainstream. Almost overnight, every company in the meeting-room industry started talking about "AI empowerment."
Our judgment was straightforward: AI in conferencing cannot be a marketing gimmick. It has to solve three concrete pain points—pre-meeting preparation takes too long, in-meeting notes are incomplete, and post-meeting minutes are exhausting to organize.

Independent R&D, full-stack domestic delivery, and integrated hardware-and-software solutions—these sound like simple words. We often say: "The value of technology is not in stacking parameters, but in solving real pain points." That sounds modest—but in the conference system industry, not many companies can actually deliver on it.
